Create one version of the project baseline
Put Kuwait construction contract, drawings, scope, site access plan, program and payment terms together. Mark who may issue changes and which version of a drawing governs. A schedule alone is not enough if the contractor cannot enter the site or the design team has not released the work. Maintain one issued drawing register with revisions and transmittal dates, and pair the baseline program with actual access and permit dates. Identify which party approves instructions and what evidence makes an instruction binding under the contract.
Track changes while they happen
Date instructions, variation requests, approvals, photographs, delivery records and progress reports. If work changes before price or time is agreed, record what was asked, by whom and its possible effect. Notice clauses should be checked against the real workflow rather than rediscovered after a dispute. Give each variation a number, scope, source instruction, measure, price basis, proposed program effect and approval status. Keep the original site records and notices. Separate agreed work from disputed work on a payment application rather than hiding the difference.
Connect delay to evidence
A delayed activity may have several causes, including access, design, suppliers and weather. Keep an updated critical path and separate simultaneous causes. Read insurance, subcontract and main contract terms together to see who documents loss, repairs defects and tells the client. Compare planned and actual progress for each affected activity, then preserve the correspondence, delivery slips and updated programs that support the account. Record notices in the form and time the contract requires; local qualified advice should check the project’s actual duties and constraints.
Prepare completion and the later period
Define testing, snagging, handover documents, retention, warranties and maintenance responsibilities. Have current Kuwait site and project requirements reviewed for the actual work before approval or a material change. A certificate or payment does not necessarily settle every open defect or variation; track them individually. Assign someone to close each test, defect, as-built record, warranty and final-account item. Record acceptance and any reservations in the manner the contract requires, and retain a dated list of matters that survive handover.
Keep the project file usable
- Maintain the agreed baseline, drawing revisions and access record.
- Track every change with instruction, approval status and time or price effect.
- Pair delay notices with dated program and site evidence.
- Separate handover certificates from outstanding defects and final-account items.
